Candidate outreach sending for recruiters
PhantomFox runs the candidate outreach system for recruiters. A shortlist can be mailed the day a role opens, with no domain, no records and no warm up in the way, and the replies can be pointed straight at the inbox your desk already works from.
On this page
A role is won in the first week. The recruiter who reaches fifty relevant people on Monday is shortlisting on Thursday, and the one whose mailbox hit a daily send limit on Monday afternoon is still apologising on Friday. This page is about the sending half of that race.
Why does a recruiter mailbox run out of room?
Because a normal mailbox was built for conversation, not outreach, and it starts throttling long before a shortlist is covered. Recruiters split lists across colleagues, stagger sends over days and still watch a good week turn into a slow one.
Worse, the mailbox being throttled is the same one clients write to, so the cost of outreach is paid by the rest of the desk. The tool and the task were never matched.
What does the candidate outreach system do?
It separates the outreach from your mailbox entirely. Sending capacity here is warm on arrival, needs no domain and no configuration, and carries volumes of ten thousand, a hundred thousand or a million messages depending on plan, so a shortlist is a single send rather than a week of drips.
Replies are routed to your own inbox, which means the conversations still happen where your notes and your calendar live. The sequence is on how it works.
What does running a desk on it cost?
Bulk messages are priced per message from a prepaid wallet, so a quiet month costs less than a busy one and nothing sits idle. A single send package suits a recruiter running one search rather than a full desk.
The unsubscribes a cold approach collects land on our sending infrastructure rather than on the address your clients reply to. Numbers are on pricing, and the volume route is bulk sending.
| One open role | From a recruiter mailbox | From warm capacity here |
|---|---|---|
| Day one | briefing taken, list built | briefing taken, list built |
| Day two | first twenty approaches sent | the whole shortlist mailed |
| Day three | sending limit reached | replies read and booked |
| Day five | half the list still waiting | first candidates in interview |
| Where replies land | the mailbox clients also use | the inbox you chose |
Recruiters also running a list they bought or built cold read first contact sending for a cold list, and those who want answers in one place read reply routing to your own inbox. Mail the shortlist on the day the role opens.
